Privacy statement & cookie policy

Transparency about what data we collect, what we use it for, and what rights you have under the GDPR.

1. Who is responsible for your data

iCasting is a trade name of IQ-Concepts B.V., with its registered office at Luttekestraat 68, 8011 LS Zwolle, and registered with the Dutch Chamber of Commerce (Kamer van Koophandel) under number 73363766. IQ-Concepts B.V. is the data controller for the personal data processed via iCasting, within the meaning of the General Data Protection Regulation (GDPR).

2. What data we collect

When you create an account or use the platform, iCasting collects the following types of data:

  • Account data: first and last name, gender, email address, phone number, address details, password (stored encrypted), and, where applicable, business details such as a Chamber of Commerce (KvK) number.
  • Profile data: photos, videos, age, location, category, measurements and physical characteristics, experience, and other information you add to your profile yourself.
  • Usage data: how you use the platform, including searches, responses to casting calls, and messages via chat.
  • Technical data: IP address, device and browser information, collected via functional and (with your consent) analytical cookies. See Article 9 for details.

3. What we use this data for

We use your data to:

  • create and manage your account;
  • show relevant casting calls or talent profiles based on your profile and search behavior;
  • enable communication between clients and talent within the platform;
  • secure the platform and prevent or investigate misuse;
  • inform you about relevant updates, unless you have opted out of this.

We process your data on the basis of the performance of the agreement that arises when you sign up, and where necessary on the basis of legitimate interest or your consent, in line with the General Data Protection Regulation (GDPR).

4. What a client sees of your talent profile

As talent, you decide for yourself what information you put on your profile, but not all data is visible to everyone. A client searching on iCasting sees, among other things, of a talent profile: your first name in combination with your city of residence, your profile photos and other media, your measurements, physical characteristics and age, and your experience and availability.

Your last name, address, email address, phone number, and other direct contact details are not shown to clients until you decide yourself to respond to a job or start a conversation via the platform.

5. Retention period

We keep your data for as long as you have an active account with iCasting. If you cancel your account, we delete or anonymize your personal data within a reasonable period, unless we are legally required to retain certain data for longer, for example for financial administration.

6. Rights of data subjects

As a user of iCasting, you have the following rights under the GDPR:

  • the right to access the data we process about you;
  • the right to rectification of incorrect or incomplete data;
  • the right to erasure (“the right to be forgotten”), insofar as no statutory retention obligation applies;
  • the right to restriction of processing;
  • the right to data portability;
  • the right to object to processing based on legitimate interest.

You can exercise these rights via your account settings or by contacting us, see Article 11. We respond within the statutory period of four weeks.

7. Sharing data with third parties

We do not share your data with third parties for commercial purposes, except with service providers that support us with hosting, payments, email delivery, or customer service, and only to the extent necessary. This includes, for example, a mailing platform for our newsletter and an analytics tool for website statistics. We enter into data processing agreements with these parties that meet the requirements of the GDPR, and where data is processed outside the EU, we take appropriate safeguards such as standard contractual clauses.

8. Data of minors

Children under the age of 16 may only sign up on iCasting with the express consent of a parent or legal guardian. If we discover that we have collected data from a child under 16 without this consent, we will delete this data as soon as possible.

9. Cookies

iCasting uses the following types of cookies:

  • Functional cookies: necessary to make the platform work properly, for example to keep you logged in. Session cookies are automatically deleted as soon as you close your browser.
  • Preference cookie: a cookie in which, after your choice in the cookie notice, we remember which cookies you do or do not accept. This cookie is valid for a maximum of 1 year.
  • Analytical cookies: with your consent, we use these to understand how visitors use the platform, so we can improve the service. IP addresses are masked in the process and we do not share data with the analytics tool provider for other purposes. These cookies are automatically deleted or renewed after a maximum of 90 days.

On your first visit to iCasting, we ask for your preference regarding non-functional cookies via a cookie notice. You can change your choice at any time via the “Cookie Settings” link at the bottom of every page, or via your browser settings. Please note that disabling functional cookies may affect how the platform works.

10. Security

We take appropriate technical and organizational measures to protect your data against loss, misuse or unauthorized access, including encryption of passwords, secure connections (SSL), and, where possible, two-factor authentication. Also read our broader tips on the Online Safety page.

Do you have questions about this privacy statement or would you like to exercise one of your rights? You also always have the right to file a complaint with the Autoriteit Persoonsgegevens (the Dutch Data Protection Authority).

The AI casting assistant

On our site you can describe a casting job in your own words to our AI assistant. It asks follow-up questions and turns your answers into a draft job. To answer you, we send your message to Mistral AI, our AI provider, who processes it on our behalf. We do not use your conversation to train AI models.

The conversation itself is needed for the feature to work, so it always runs. Keeping a record of it is not: we only do that if you have accepted analytics cookies.

What we keep if you allow it

  • the messages exchanged between you and the assistant;
  • the draft job that resulted from them;
  • whether you then created an account or signed in to an existing one;
  • whether you posted the job, and if so its job number;
  • the language of the conversation and when it took place.

We use this only to see where the assistant loses people and to improve it. We do not link this data to advertising and we do not share it with third parties.

Please note: everything you type into the chat window is stored. So do not enter details you would rather not have kept.

Retention and withdrawing your choice

Stored conversations are deleted automatically after at most 30 days. You can withdraw your consent at any time through your cookie settings. From that moment we keep nothing further. If you would like a stored conversation deleted, please contact us through the contact page.
